Managed hosting is more than server capacity. Ongoing operations must reliably connect customers, domains, hosting plans, contract periods, invoices, renewals, signatures and technical ownership. An internal operations and billing platform was built for this purpose.
Starting Point
As a hosting portfolio grows, recurring operational tasks multiply: contract starts and expirations, domain renewals, invoices, payment deadlines, customer communication and technical assignments. When that information is spread across spreadsheets, email and provider dashboards, the risk of missed deadlines and inconsistent records increases.
Project Goals
- Create a central view of customers and active services
- Manage hosting, domain and service subscriptions structurally
- Model invoices and line items transparently
- Automate expiration and renewal workflows
- Support signatures through secure, controlled links
- Make administrative changes auditable
- Bring provider and server information into one operational context
CRM & Customer Data
Customer records provide the foundation for all downstream workflows. Contact, company, billing and service-related information can be stored structurally, allowing subscriptions and invoices to reference a consistent customer model rather than isolated records.
Subscriptions for Hosting, Domains & Services
Recurring services are represented as subscriptions. A subscription can carry service type, domain, hosting plan, provider, server assignment, dates, billing cycle, price, auto-renew status and other operational metadata.
This model places technical and commercial information inside the same lifecycle.
Expiration & Renewal Management
Domains and hosting agreements are time-sensitive. The platform evaluates expiration dates and surfaces upcoming renewals, turning deadline management from a reactive activity into a planned process.
- Start and expiration dates
- Configurable billing cycles
- Auto-renew information
- Customer reminders
- Views for services approaching expiration
- Automatable reminder jobs
Billing & Invoices
Invoices include status, issue and due dates, currency, tax rate, discounts, subtotal, tax and total amounts. Line items provide a clear breakdown of individual services.
Linking invoices to customers and optionally subscriptions makes it possible to trace which service a specific invoice belongs to.
Digital Signature Workflows
Documents or approvals can be exposed to customers through secure tokens without requiring access to the internal administration area. This keeps the external signing flow clearly separated from operational administration.
Token-based access is particularly useful for external actions that need tightly scoped and uniquely attributable permissions.
Dashboard & Operational Prioritization
The dashboard consolidates relevant counts and urgent operational tasks, such as new leads, active subscriptions, open invoices and services expiring within a defined window.
The objective is not to maximize the number of charts, but to make actionable work visible.
Audit Logs & Traceability
Administrative changes should remain traceable. Audit logs provide the foundation for support, troubleshooting and internal control. For billing and expiration-related data, change history is often more important than basic CRUD functionality alone.
Automation
Recurring tasks are suitable for scheduled jobs. Reminders, expiration checks, notifications and maintenance tasks can run independently from interactive admin sessions. The architecture therefore separates administration from background automation.
Security & Permissions
The application is designed as an internal operations platform. Administrative endpoints require authentication, sensitive actions remain separated from the public surface, and external signature actions use tightly scoped tokens instead of full account access.
Result
The platform creates a shared operational view across technical services and commercial processes. Hosting operations become less dependent on isolated spreadsheets, individual memory and fragmented provider information.
It also provides a foundation for future automation, provider integrations, reporting and customer self-service capabilities.
